Booking Policies
The Nitty Gritty.
Last updated: 4/22/2025
This page is your guide to what’s expected when you book with Buffalo Creek Outfitters. We love what we do, but we run a tight ship. The land deserves it. The dogs demand it. And you’ll enjoy your hunt a whole lot more when everyone’s clear on the rules.
Non-Refundable Deposits
A $500 non-refundable deposit is required at the time of booking to secure your hunt dates.
Deposits must be received within 10 business days of booking.
Dates are first-come, first-served and not guaranteed until the deposit is received.
Deposits are applied to your total hunt price.
Hunt Fees & Final Payment
We accept cash, checks, and credit/debit cards.
A final invoice will be provided 30 days before your hunt.
Your remaining balance is due in full at that time.
Electronic Payment Surcharges
We add a 3% surcharge for credit card payments and a 1% surcharge for ACH transactions—just enough to cover what it costs us to accept them.
Want to skip the surcharge? You're always welcome to pay by cash, check, or cashier’s check instead.
Sales Tax
In the State of Wyoming fees paid for the skill and direction of a guide are exempt from tax. However, Outfitters who offer lodging and/or meal services are required by state law to collect the appropriate tax for such services. Your invoice will be itemized to show a separation in services so you are not subject to tax on a global amount.
Cancellation Policies
Client-Initiated Cancellations
Requests to reschedule during the same calendar season will be considered on a case-by-case basis.
If you no-show or leave early, no refunds, rate reductions, or extra days will be given.
If you ghost us after booking, we remember.
Outfitter-Initiated Cancellations
In case of unsafe weather, natural disaster, or uncontrollable chaos beyond our control, you can:
Reschedule your hunt
OR receive a credit toward another hunt within one year, at no extra charge.
Termination Due to Client Violations
If your hunt is terminated due to:
Violating firearm safety rules
Breaking laws or land-use rules
Unethical behavior (like trashing the place)
Making discriminatory/derogatory comments
Threatening anyone's safety
...you’re done, and you will not get a refund.
Refund Processing
Any approved refund will be processed within 10 business days, excluding non-refundable deposits and credit card processing fees if applicable.
Weather & Rescheduling
The Outfitter decides if conditions require rescheduling, relocation, or modifications. Your hunt will go on as long as it’s safe.
Liability Waivers
Buffalo Creek Outfitters carries and maintains a million dollar commercial liability policy as required by the Bureau of Land Management. However, due to the nature of hunt activities all participants are required to sign a liability waiver before heading afield. Waivers are sent to participants once a deposit is received and must be returned prior to the hunt date.
Trip Insurance
We highly recommend purchasing trip insurance. It protects your money if something goes sideways and can also cover:
Lost/damaged gear
Emergency evacuation
Medical issues during the trip
It’s one of those “better to have it and not need it” situations in the event of illness, injury, work emergencies, travel disruptions etc.
Licenses
You are 100% responsible for getting all required licenses, tags, and permits. We’ll tell you what you need, but you’ve got to show up ready.
Conduct & Compliance
You agree to:
Obey all laws and land regulations
Follow guide instructions at all times
Treat other hunters, staff, and the land with respect
Not act like a jerk or endanger anyone
We reserve the right to kick you off the hunt—no refund—if you violate these expectations.
Health & Fitness
You’re confirming you’re physically and mentally fit to hunt. If anything changes (injury, illness, etc.), let us know. If you can’t safely participate, you agree to stop and notify us immediately.
Food Allergies
We can’t guarantee an allergen-free lunch. If you’ve got food allergies, bring your own safe foods. We won’t be offended.
Hunting Success
This is real hunting. We don’t guarantee shots or birds. What we do guarantee: effort, experience, and working our tails off to put you on birds.
Hunting Dogs
We use skilled, trained dogs. If you injure one of them:
You’ll pay all vet expenses
If the dog can’t return to work (or dies), you agree to pay $10,000 per dog
If you bring your own dog, that’s fine—but you’re responsible for their behavior, safety, and handling and we don’t assume any responsibility for them, financially or otherwise.
Medical Treatment
If something happens and you need help, we’ll do what we can and may call for medical support.
You accept all responsibility for medical and evacuation costs
You release us from liability for medical decisions made in good faith
Media Release
We may take photos or videos during the hunt. You give us permission to use these images. No compensation. No approval required.
